Audiences & Audience Templates

This article is going to be your go-to guide for managing different audiences and templates with ease!

Modules need an audience attached to them to get your team members to view and complete them on the Spiffy App.

There are four different types of audiences that can be attached to a module:

  • "All Team Members" Audience:
    • When selected, all team members across your company will be able to complete the module.
    • Any module with an "All Team Members" audience automatically updates when a role or location is created or removed.
    • You can use the quick-select option 'All Team Members' when assigning an audience to a module during the module deployment phase.
  • "Role-based" Audience:
    • This audience is perfect when you want Single or multiple roles in all locations (but not all roles in all locations) to complete a module.
    • Any module with a "Role-based" audience automatically updates when a role or location is created or removed.
    • During the module deployment phase, you can use the quick-select option 'By Roles' to select the desired role tags as an audience.
  • "Location-based" Audience:
    • In this type of audience, all team members in specific location(s) (but not all locations) can complete the module.
    • Any module with a "Location-based" audience automatically updates when a role or location is created or removed.
    • During the module deployment phase, you can use the quick-select option 'By Locations' to select the desired locations as an audience.
  • "Other/Custom" Audience:
    • This type of audience can be selected when you want to deploy a module to a custom set of team members with specific roles in specific locations. Ex. "Role A" in "Location 1 & Location 2" and "Role B" in "Location 2" and "Role C" in "Location 2 & Location 3".
    • These will NOT be automatically updated when a new role or location is created, you'll have to update the audience for those modules.



What are Audience Templates?

Audience templates enable the targeted deployment of modules based on specific roles and locations within your company.

Audience Templates are perfect for teams that offer different menus at various locations.
Example: Your wine and appetizers list in Calgary differs from your offerings in Kelowna, or perhaps not all of the accessories available in-store in Guelph are the same as those in Kitchener.

No matter what industry you are in, you can use the audience templates tool to differentiate what locations and roles receive which pieces of learning material.

Audience Templates are structured like a matrix.

Here are a few things to keep in mind when creating an audience template:

  • You can create multiple templates based on different requirements.
  • You can select individual boxes to indicate a specific role at a specific location or use the easy selector to select all roles at a specific location or all locations with a specific role.
  • You can edit templates after creating them; however, any new changes will not be accounted for all the already live modules if it's a custom selection. You'll have to update the live modules' audience if you want the new changes to be reflected.
  • To deploy a module using an audience template, when you get to stage 4 of the module builder, please select ‘Import Template’ and choose the template from the drop-down menu!
    Note: You need to create a template before deploying a module to it.

Here are some FAQs about the Audience and Audience Template functionality:

 Q. I want to deploy a module to only one specific role at all of my company's locations. Do I need to create a template?

No. If you want to deploy content to one or more role tag(s) at all of your company's locations, you can select the audience type "Select Roles" and choose what role tags you want to deploy your content to in the module builder.

Q. I’ve made a change to an audience template. Will the modules deployed to that custom audience be updated automatically?

No. If any changes are made to a custom audience template after attaching it to a module, they will not automatically be updated. You'll have to update the audience for that module manually through the "Edit Live Module" option on the Library page.

Q. Can a custom audience be attached to a marketplace module?

Yes. You can attach a custom audience to both custom modules and marketplace modules.

Q. Can you change the custom audience for a module that is already LIVE? What would happen to the team members who haven't completed the module?

Yes. You can update the custom audience for a LIVE module (custom or marketplace). 

If the team members who haven't completed the module fall within the new audience's criteria, they will still be able to do so. If the new audience criteria don't include their role or location, that incomplete module will be removed from their feed.

Q. I don't want a supervisor to change the audience of a currently deployed module. Is there a way to lock a module's audience?

Yes. As an admin, when you create a module, you can lock the module's audience during the module creation process. This action will prevent any supervisor from changing the audience setting of the module.

Q. Can supervisors deploy content to any locations?

No. Supervisors can only deploy modules (custom or marketplace) to the locations they have access to and have the ‘supervisors deploy content’ turned ON.
This setting can be found on the Locations tab on the Admin Dashboard.

Q. I don't want my company's supervisors to deploy content. Is there a setting to prevent them from doing so?

Yes. You can toggle the setting to prevent supervisors from deploying content. This setting is applied to each location - you can have supervisors in some locations deploy content and prevent it in other locations. This setting can be changed by going to the Locations tab and toggling on/off the setting when viewing a specific location.
